Privacy policy: How we look after your information.
What we collect, why we collect it, who sees it and the choices you have.
Last updated
This policy explains how Studio X11 Ltd, which trades as Studio Twelve UK (“we”, “us”), handles personal information when you use studioxii.co.uk, contact us, use our Website Architect, or work with us as a client or partner. We aim to collect only what we need and to be clear about what we do with it.
Who we are
Studio X11 Ltd, trading as Studio Twelve UK, is a website design, SEO and Google Ads studio for serviced accommodation, hotel and aparthotel operators, based in Portsmouth, United Kingdom (company number 14445483). We are the controller of the personal information described in this policy, which means we decide how and why it is used.
You can contact us about anything in this policy at hello@studioxii.co.uk or on 02394 387336.
What we collect, and why
The information we hold depends on how you deal with us.
When you send an enquiry
The contact form asks for your name, email address, your company and role if you want to give them, the services you are interested in and your message. We use it to reply, to arrange a discovery call and to understand what you need.
When you book a call
Calls are booked through Calendly. Calendly collects your name, email address and chosen time under its own terms and privacy notice, and we receive those booking details so that we can speak to you.
When you apply to be a partner
The partner form asks for your name, business, email address, phone number, website or social profile, the kind of partnership you have in mind and what you and your audience would bring. We use it to decide whether and how to work together.
When you use the Website Architect
If you use the Website Architect on this website, we collect your name, email address, phone number, business name, what you are trying to grow and your existing website if you give it, along with the choices you make in the tool. We keep these so that you can pick up where you left off and so that we can follow up with you. We also record whether you agreed to receive marketing emails, and when.
Marketing emails
We only send marketing emails, insights and updates if you have ticked the box to say you would like them. We send them using Wix Email Marketing. You can withdraw that agreement at any time by using the unsubscribe link in an email or by contacting us.
If you are a client
When you work with us we hold the information needed to set up and deliver your project: your business and contact details, the email address you sign in with, links to your contract, payment page and shared folder, your progress through onboarding, and the information you give us in your website planning area, such as your properties and their listing links, locations, guest types, services, wording and domain details. Our team also keeps internal notes about meetings and decisions, which are not shown to you.
Contracts are signed through Adobe Sign, and payments are taken by Stripe through a payment page we send you. We do not store card details on this website or ourselves; Stripe handles them.
Maintenance requests
Existing clients can send maintenance requests through forms hosted by ClickUp. The information you enter there is used to carry out the work you ask for.
Email, phone and messaging
If you email, call or message us, including through WhatsApp, we keep the messages and your contact details so that we can deal with what you have asked.
How you use this website
Like most websites, this one records how it is used, through Google Analytics and Wix’s own visitor statistics, and uses cookies and similar technologies as described below. We also count how many times each article is read, as a number that does not identify you.
Our legal bases
Data protection law requires us to have a lawful reason for using personal information. Ours are:
- To take steps at your request before a contract, and to carry out a contract with you, for example answering an enquiry or delivering a project.
- Our legitimate interests in running, promoting and securing our business, for example replying to the people who contact us, keeping records, preventing spam and misuse, and improving this website. We consider your interests and rights before relying on this.
- Your consent, for marketing emails and for cookies and similar technologies that are not strictly necessary. You can withdraw consent at any time.
- Legal obligations, for example keeping accounting records.
Cookies and similar technologies
When you first visit, a banner lets you accept or decline cookies that are not essential. You can change your choice at any time using the privacy button at the bottom left of the page. The banner groups cookies as essential, functional, analytical and marketing.
Essential cookies keep the website working, including the cookie that keeps you signed in to your private client area. Analytics cookies, including those from Google Analytics, are used according to the choice you make in the banner.
The website also saves small items in your browser’s own storage, which stay on your device. They remember things such as light or dark mode, whether you have seen an introduction or a prompt, where you were in the Website Architect or your planning area so that you can carry on, and whether you have already read an article in this visit.
Embedded services, such as our booking calendar, may set their own cookies under their own policies.
Who we share it with
We do not sell personal information. We share it only with organisations that help us run the website and our services, and only as far as they need it:
- Wix, which hosts this website and provides our content management, forms, contacts, member sign-in, visitor statistics, email notifications and Wix Email Marketing.
- Google, for website analytics through Google Analytics and for shared folders where clients send us files.
- Calendly, for booking calls.
- Adobe, for signing contracts through Adobe Sign.
- ClickUp, for maintenance requests.
- WhatsApp, where you choose to message us there.
- Stripe, which takes payments when you pay through a payment page we send you.
- Professional advisers, such as accountants and lawyers, and authorities where the law requires it.
These organisations act under their own terms and privacy notices, and where they handle information on our behalf they are required to protect it.
Sending information abroad
Some of the services above are provided by companies that handle information outside the United Kingdom. Where that happens we rely on the safeguards that UK law recognises, such as an adequacy decision or approved contract terms, so that your information stays protected.
How long we keep it
We keep personal information for as long as we need it for the reason we collected it and for the related legal, contract and accounting purposes, and we review what we hold from time to time. You can ask us to delete your information at any time, as set out under Your rights below.
- Enquiries and Website Architect submissions are kept while we are dealing with you and for a reasonable period afterwards in case you come back to us.
- Client records are kept for the length of the relationship and afterwards, so that we can look after your website, answer questions about past work and meet contract, legal and accounting needs.
- If you unsubscribe from marketing emails we keep a record of that so that we do not email you again.
Keeping it safe
Client areas are private: they need a verified sign-in, each client can see only their own information, and they are hidden from search engines. Access for our own team is limited to the people who need it, forms are protected against abuse, and the website is served over a secure connection. No system is completely secure, so please take care with what you send and keep your sign-in details to yourself.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information, in some circumstances;
- ask us to restrict how we use it, in some circumstances;
- object to us using it for our legitimate interests or for direct marketing;
- ask for the information you gave us in a portable format, in some circumstances; and
- withdraw your consent at any time, where we rely on it.
To use any of these rights, contact us at hello@studioxii.co.uk. We may need to check who you are first, and we will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us so that we can put it right. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), and you can make a complaint on the ICO’s website.
Children
Our website and services are for businesses. They are not aimed at children, and we do not knowingly collect information from them.
Changes to this policy
We may update this policy from time to time, for example when we change how the website works. The date at the top shows when it was last updated. If a change matters to you, we will tell you in a suitable way.
